Scribe alternatives for small businesses

This page covers what else is worth looking at if you run a business of one to fifty people and a step recorder hasn’t been enough. It starts with Edessa, because that is the one I built, then takes a fair look at the rest.

Every price below was read from that company’s own pricing page on September 24, 2026, and each name links to the page it came from. Prices move, so check the link before you decide anything. Two of these tools publish no prices at all, and the table says so rather than guessing.

What is Scribe good at?

Scribe records your clicks, in the browser on the free plan and in desktop apps on Pro, and writes them up as numbered steps with screenshots. Pro can also transcribe what you say into the steps. For a short in-browser task, that is quick and it works. If that is the whole job, it may be all you need, and you can stop reading here.

So why look elsewhere?

There are three things worth weighing.

Clicks are only half the task. The reason a step exists, the thing you check before you hit send, the one client you handle differently: none of that is a click. It stays in your head, so the written guide is thinner than the real job.
Cost per person adds up fast. Once more than one person needs access, you pay for each of them every month, so price it at your real headcount.
A guide has to get opened to help. If it lives somewhere the team doesn’t already look, the questions still go to the person who knows the task.

What does Edessa do differently?

Edessa records your screen and your voice at the same time, then writes the workflow from both. You talk through the task the way you would explain it to a new hire, so the reasoning lands in the document alongside the steps.

Three things come out of that:

Steps carry the button names and field values that were actually on screen, and each one gets a screenshot from your recording.
Every step gets an automation tag, so you can see which parts are manual and which are worth handing to a tool.
Anything you skipped over in the narration gets flagged, so you are correcting a draft instead of starting from a blank page.

Which one should you pick?

Pick a step recorder if

The work happens entirely inside a browser and the clicks are the whole story.
You want a guide to drop into a help centre, and nothing more than that.
Nobody needs to explain judgment, exceptions or the one client handled differently.
You only need a guide for people, not a Skill file your AI tools load.

Pick Edessa if

The knowledge is stuck in one person’s head and everyone else asks them.
The task crosses more than one app, or leaves the browser entirely.
The reason behind a step matters as much as the step.
You want the write-up to run inside the AI tools you already use.

Two tools here are not step recorders at all, and that matters more than price. Pick Trainual or Whale if the real job is onboarding and you want to see who finished the training. Pick Process Street if your work is a checklist somebody runs every week. Pick Notion if you already live there and you have the discipline to build the structure yourself.

Is Edessa a drop-in replacement for Scribe?

Not exactly. Scribe is built around click capture, with voice and desktop capture on its Pro plans. Edessa records your whole screen and your voice on every plan, then flags what the narration skipped and tags each step for automation. If your work is click-only and in-browser, Scribe’s free plan is the simpler tool.

What does Edessa cost?

Every plan starts with a 14-day free trial and you can cancel any time from billing settings. Founding Member pricing is $5 a month for up to 3 teammates, held for the life of the subscription, capped at the first 100 workspaces. The Team plan is $99 a month for up to 10 teammates.

Can I move my existing guides over?

There is no bulk importer. You can paste the text of an existing guide into a new workflow and Edessa structures it, but the practical move is to leave old guides where they are and record the tasks that actually get asked about.
